Application of videoconference service

To the form for the application of videoconferences accesses from Vertex in UACloud.

The application of a videoconference is a process that has two steps. In the first step, enters the information referred to the University Alicante (title, contact, dates, users, rooms%u2026), whereas in the second step completes the information referred to the participants of the another extreme of the videoconference.

Step 1

  1. In the first place, they have to accept the instructions for use of the service of videoconference. For this does click on the button of instructions for use. This will happen to show the word YES, which means that they have accepted such conditions. Without this step, can not continue with the application.
  2. To continuation, shows the email UA of the applicant.
  3. In this step, enters the title of the videoconference and a small summary.
  4. To continuation, enter the numbers of mobile telephone of contact and/or the telephone extension intern. This is the telephone with which put us in contact for the details of the videoconference.
  5. In this section, enters the date the videoconference, as well as his hour of start and hour of ending estimated.
  6. If they go to be involved more users of the University Alicante in the videoconference, these have to specify in this section by means of his separate emails by commas.

  7. If it treats of a videoconference for the defence of a thesis doctoral organised by the University of Alicante, has to mark this section. In this case, EDUA has a rule in this regard so that the defence was valid. This rule can find here: https://edua.ua.es/es/informacion/tesis-doctoral/lectura-de-una-tesis-de-forma-no-presencial.html
  8. In the following section, indicates if the videoconference is organised by the applicant or if you took of invited of another external entity.
  9. To continuation, specifies the type of videoconference. They exist three types of videoconference:
    1. Videoconference with professional team H323/SIP.
      This is the preferential option place that treats of professional infrastructure devoted to the videoconference which ensures a level of quality of video and optimum audio.
    2. Adioconferencia.
      In this case, the conference realises only by means of voice, using for this microphones and speakers of table that allow to connect the conversations of a group of people gathered with a remote user.
    3. Videoconference of desk.
      This is a type of videoconference that connects personal computers by means of speakers and microphones or auricular. Since it is not a reliable system, does not expect that the service have a quality guaranteeed, since it depends on the comanagement of the network and of the type of connection of the computer (wifi/wired up). This type of videoconferences can realise from two types of rooms:
      - Sala of the Service of Computing. In these rooms, finds a computer with the installed software (Skype, Google Hangouts%u2026) and audiovisual equipment (camera, microphone and speakers). Before the date of videoconference, the applicant commissions to manage in his account to the participants and realise previous proofs to check availability, share screen if necessary and quality of video and sound. Once that it arrive to the room of videoconference, will give of high with his user and password in the computer of the room, with what will appear all his contacts. It can not bring the personal computer since it will not connect to speakers, microphone and camera.
      - Other locations (dispatches, public rooms%u2026) In this case, loans audiovisual equipment (auricular, webcam, portable) if the applicant does not have of him. The same that the previous case, the gestión of users is competition of the applicant.

  10. To finalise, enters the number of local assistants. In function of the number, can choose between four rooms:
    1. Small Sala of the Service of Computing (6 people)
    2. Big Sala of the Service of Computing (10 people)
    3. Classroom 12 of the building Workshop of Image (30 people)
    4. Classroom And21 of the building Aulario 2 (40 people)
  11. The last section is optional and allows that the user indicate any comment in this regard of the application.

With this first step, gives of high the application of videoconference and the applicant will receive an email indicating the correct reception of such application. To continuation, set up the procedures for the confirmation of the videoconference and again, the applicant will receive an email when it confirm . Also it will receive emails when they confirm proofs of videoconference related with this same application as well as to the closing of the same.

If already it knows the information of any of the external participants (speakers, technicians%u2026), can fill the step 2. It does not do lacking to know the data of all the participants, but it can go adding a posteriori. If it does not know at all still of the external participants, leaves the cumplimentación of the step 2 for more advance.

Step 2

Once that they have established the local parameters (title, participants, rooms,...), has to fill information of the external participants by means of the corresponding button. For each participant, require the following fields:

  • Type of participant
  1. Technician: it is the technical manager attendant to coordinate with the local technicians so that the videoconference effect without incidences.
  2. Organiser: it is the person that organises the evento in the another extreme. Generally, it coordinates with the technical personnel, speaker or assistant, as well as other interested.
  3. Assistant/Speaker: it is the person that took to a videoconference or that gives a talk or conference acting like speaker, all this in the remote place.
  4. Interested: they are other people involved in the evento and that wish to be informed to develop his work, such as managing, collaborators, etc.
  • Name
  • Email
  • Telephone and extension
  • Observations

Step 2

Recover the data of a videoconference realised

For the cases in which they realise regular videoconferences, is possible to recover the data of other previous sessions. To do this, so alone have to press the button "Create new from another application". In this way, we recover all the general data of the videoconference and only is necessary to fill the fields that go to varíar with regard to the previous session:

  • Title and summary (if it proceeds)
  • Date and hour of the videoconference
  • More users UA (if it proceeds)

So much in the title and summary, as in the users UA, by defect will appear the contents of the previous session to give the option to keep or modify the values to discretion.
