UACloud and our regular Virtual Campus

UACloud supersedes the regular Virtual Campus

What is UACloud Virtual Campus and why it supersedes  the regular Virtual Campus?

The University of Alicante Virtual Campus has jumped into the cloud with the launch of UACloud - Virtual Campus, the UA cloud app.

The same services as before but improved and organised by apps. A more modern user-friendly and attractive way of working that will need an adjustment period.

Amongst other advances, the new UACloud-VC is accessible from mobiles and other devices. The possibility to work with several applications at the same time was also demanded by the university community, which required a big effort in adapting and bringing the software up to date.

The applications and tools that are still in 'CV Otros Servicios'  (their location in the old VC) will be steadily integrated in the new VC.

The latest novelties have been incorporated into MSCloud and GCloud External Services (Microsoft Office 365 and  Google cloud respectively) and UADrive, which, apart from being a corporate virtual disk, it changes the way to upload the class materials for students into a more powerful and user-friendly management.

We kindly ask for your understanding for a change that will benefit us all.

To quickly become familiar with the new environment, we recommend you to see the UACloud-Virtual Campus presentation videos and how to customise your UACloud.

In order to avoid potential problems during the required adjustment period, this FAQs  page and the handbook available from the handbooks available from the left menu will be updated with all the queries that may arise. Whether you have a question, comment or suggestion, please, let us know.

Browsing UACloud - Virtual Campus

Where ..

Where can I have access to  WEBMAIL ?

Users do not need to enter UACloud - Virtual Campus: From the  UA home page , just next to UACloud-VC , access to Webmail is provided (such as it was before the launch of UACloud).

Webmail has always been a service  independent from the Virtual Campus, although you can also have access from it. From the new UACloud - Virtual Campus, you can access it from VC Other Services>> Other Services >> Webmail . However, we recommend you to enter directly from the UA home page .

Where can users have access to the learning  materials from ?

Students can view notifications on new materials by clicking on the bell displayed on the upper right section of the screen. A Notification Centre will be displayed, where users can view the notifications of all application (and profiles) with a quick look and click on any to open them.

Access to all the learning materials published by lecturers is performed by means of the new applications  Learning Materials. There, students have access  to the learning materials published by the lecturers, who can check from here  how their students view all the materials available.

The new materials are uploaded and assigned from UADrive , allowing a powerful and user-friendly management.

 ·   For 2015-16 subjects, learning materials cannot be uploaded to the old Virtual Campus
 ·   Lecturers will be able to  move to UADrive their learning materials in the Virtual Campus with simply the click of the mouse
 ·   Anyway, they will be available (for download only) in the old Virtual Campus for lecturers and students .

 ·   All the information is available at  UADrive help page
 ·  We recommend that you view the  UADrive presentation video , as well as the graphics on the " Tips you need to know about UADrive "

Do not you find tools easily in UACloud?
Where can any of the "Other Services" that used to be in the Virtual Campus be found?

  • You might have unmarked it as a favourite. You can mark it again on your drop-down menu containing all applications.

This video will show you how to  recover the app sheets previously deleted (from UACloud, your apps will be displayed from the UACloud logo, at the upper left corner of the window by clicking on the button "All applications" and mark it again as a favourite by clicking on the circle at the upper right corner).

  • If it is not on UACloud yet, it will be available from the old VC in ' CV Otros Servicios'.

In the old VC ' CV Otros Servicios'  access to the  apps and tools that have not yet  been  migrated to the new environment is still available .
The left menu in ' Otros Servicios'  is still organised the same way it used to be in the old VC, but improved and displayed as independent app sheets in the new UACloud environment (electronic office, tutorials, grade reports, messages, curricular guidelines, RedUA, sports...)
  • Other Services for Academic and Research Staff

    Otros Servicios (perfil PDI)

  • Other Services for Students

  • Other Services for Administrative Staff

UACloud will be progressively developed, incorporating the tools and applications that will be moved from the old version and will not be there anymore.

 How...

How can I learn to browse and customise my UACloud  easily ?

We recommend that you view (in less than two minutes) the video on how to customise your UACloud - Virtual Campus  and how to browse the site.

In more specific videos, you will be shown how to hide those sheets that you usually do not use  (but can  recover them easily at any time), how to organise differently placing first those that you use more frequently.

Can I only go from application to application or can I go back to UACloud home screen?

If you closed the tab with the home screen to all applications, you can always go back from any of them you keep open. UACloud is displayed as another application including all the others:
"UACloud

These and further possibilities are shown in the video on how to customise your UACloud - Virtual Campus.

How to recover the app sheets previously deleted?
How to delete app sheets that I do not use frequently?

This video will show you how you can hide UACloud app sheets(by clicking on the cross displayed at the right upper corner).

This other video will show you how to recover app sheets previously deleted(from UACloud, you can display your applications from its logo at the left upper corner of the screen, by clicking on the button "All applications" and mark again as favourite by clicking on the circle at the right upper corner).

We recommend that you place first those you use more frequently and  hide  the sheets you normally do not use (which you can always  recover  at any time).

How can I see what's new or notifications at a glance, without going from application to application?
(Tutorials, new material, announcements...)

Certain applications have a series of notifications that can be displayed without the need to access the application. When you click on them, they will turn over and show their notifications. We could also enlarge the size of the application (the icon they have on the upper left corner) so that its notifications are displayed directly without the need of turning them over.

Also,  by clicking on the bell at the upper right corner, you can enter the notifications of all applications (and all profiles) at a glance and they can be opened by clicking on each of them:

These and further possibilities are displayed in a video on how to customise your UACloud - Virtual Campus.

How to delete notifications on  UACloud?

Notifications can be deleted by clicking on any of them to enter the noticeboard with a button next to every notification  to "mark as read" . Once marked as read, we will still have them available but they will not counted as pending to read.

See the process on this video on how to delete notifications on  UACloud'.(only Valencian version available)

How can I change the size of the app sheets ?
How can I see  notifications in an app without turning it over ?

By enlarging the size of an app sheet (clicking on icon at the left upper corner) you can make space for the notifications (or other information) to be displayed without the need to click on it and turn it over . This video will show you the process to  change a UACloud sheet size .

Additionally, remember to see all notifications of all applications (and all profiles) at a glance by displaying the notification centre and clicking on the bell at the right upper corner.

How to reorganise  the app sheets ?

We show you in this video how to reorganise your app sheets(by clicking on them and dragging them to the desired location)

The new apps organisation will be shown by clicking on the UACloud logo at the left upper corner.

We recommend that you place first those you use more frequently and hidethe sheets you normally do not use (which you can always recoverat any time).

How can I enter Webmail ?
Why am I not allowed to enter  Webmail UACloud - VC Other Services?

We can enter Webmail via UACloud on the application Other Services, section Other Services >> Webmail . If you cannot open Webmail through this link, it is normally because you have blocked pop-up windows in your browser.

Anyway, Webmail has always been an independent service within the Virtual Campus and we recommend that you access directly from the UA home page, where you can find Webmail just next to UACloud-VC .

Access from the UA home page does not require pop-up windows.

Even though, if you want to allow them, follow these instructions on how to proceed with the most common browsers:

  • Mozilla Firefox: Tools>> Options >> Content: make sure you have unmarked  "Block pop-up windows"
  • Google Chrome: Configuration >> Display advanced options >> Content configuration: In the Pop-ups section, "Allow all sites to show pop-ups"
  • Microsoft Internet Explorer: Tools (ALT+X) >> Internet options>> Privacy: make sure  to unmark  "block pop-ups"

Access to UACloud. User profiles. Access problems to apps
User profiles

I see user profiles I never use on UACloud.
How can I avoid choosing profiles for certain apps on UACloud?

UACloud - Virtual Campus has different users with different access profiles (students from different degrees, already graduate students, academic and research staff, administration staff...)

Apps in the new UACloud unify the information and functionalities of all of our profiles. However, some apps in  'Other Services'  (where all apps still to be adapted are included) require users to choose a profile .

UACloud allows users to hide those profiles they do not use frequently. Thus, if you only make one of them visible, you will not need to choose profile, still required with some apps.

Administrative staff can access from "My Virtual  Campus" . In the case of students and academic staff, from "My Profile" :

And you can always change your profile, even those hidden (displayed as "more profiles" to show the profiles that have not been marked by default)

Password and authentication problems

How can I change my access password?

There is a link available  from the UACloud access screen> "Access" button

Remember that once you have your password, the new password will be used to enter all the services offered by the University (UACloud - Virtual Campus , Webmail, Vualà, Questionnaires, incidence management...)

If you do not remember your username or password (and you get this message: "incorrect email or password"), you should check the answer below.

When I am trying to enter  UACloud - Virtual Campus/ Webmail or other UA services,
I get this message: "incorrect  email or password"

Remember that your username and password to enter UACloud - VC is the same to enter the other UA services (Webmail, Vualà, Questionnaires, incidence management ...)

You should take into account that the password is case sensitive.
Make sure you use it correctly and do not confuse  O (vowel) with  0 (number).
If you have problems with the virtual keyboard on the screen, try your physical keyboard

Either if you are not allowed to log in with your username and password or you do not remember either of them, you should apply for a new password at the reference centre of the university group you belong to:

I get a "BLOCKED ACCESS" message when I try to login

You should contact your corresponding  "reference centre" , as we previously mentioned. Your access might have been blocked due to an administrative error detected.
You should contact them to unblock your access and you will probably be assigned a new password.

 Problems with specific apps

UACloud - Virtual Campus or any other web service seems not to work on my PC.
The app displays a blank page .
I cannot login from my PC but I can from another PC.
The system gets me back to UACloud access control screen.

Most of the times, it is a problem with your browser.

You can check it trying to login with a browser other than the one you are experiencing problems with (Mozilla Firefox, Google Chrome, Internet Explorer...)

If you see that certain links are not working (you get a blank page) , it is normally because your browser is configured to not allow new windows to open when you click on some links. You should activate " Allow all sites to show pop-ups " , required in some functionalities:

  • Mozilla Firefox:  Tools>> Options >> Content: make sure you have unmarked  "Block pop-up windows"
  • Google Chrome:  Configuration >> Display advanced options >> Content configuration: In the Pop-ups section,  "Allow all sites to show pop-ups"
  • Microsoft Internet Explorer:  Tools (ALT+X) >> Internet options>> Privacy: make sure  to unmark  "block pop-ups"

To avoid further problems, we recommend that you delete temporary files, caché and cookies of your browser  (you have videos available on how to do it with Mozilla Firefox , Google Chrome or  Internet Explore).

To log in properly in UACloud - Virtual Campus and have a correct view of all the options, your browser should be correctly configured (default configuration of all browsers are supposed to work correctly). You are required to activate the use of cookies and JavaScript functions::

  • Mozilla Firefox:
    • JavaScript: Tools >> Options >> Content: "Activate JavaScript".
    • Cookies: Tools >> Preferences >> Privacy: "Accept cookies" (or "Remember history")
  • Google Chrome:
    • JavaScript: Configuration >>  Display advanced options >> Content configuration:  "Allow all sites to run JavaScript (recommended)"
    • Cookies:  Configuration >>  Display advanced options >> Content configuration:   "Allow local data to be set (recommended)"
  • Microsoft Internet Explorer:
    • JavaScript: Tools (ALT+X) >> Internet options >> Advanced options: "Restore advanced settings"
    • Cookies: Tools (ALT+X) >>   Internet options >>  Privacy

Apps related with  economic information (other payments, fiscal data,                                                                                                                                         research projects, etc.) do not work :

Occasionally, users of UACloud - Virtual Campus find problems with accessing the economic information when using Internet Explorer. Users experience that they can login perfectly with browsers other than Explorer  as the problem comes from   Microsoft Explorer settings.

    • Users should previously install the UA security certificate  (this certificate is also required to access Webmail and the economic management app).
    • Explorer 7 and subsequent versions demands users an appropriate management of privacy to login the UACloud - Virtual Campus tools with economic information:
Other payments, Fiscal Data, Research Projects, etc.
You can enter these tools by taking the following steps:
      •   Tools>> Internet Options >>
      •   Privacy >> Sites>>
      •   Web site address: site >> Allow >> https://www.ge.ua.es

You can follow the whole process with screenshots step by step to solve this problem of Internet Explorer with the economic management apps.

Apps in UACloud

Learning Materials and UADrive

I cannot publish new materials

The  Learning Materials app allows users access to the learning materials lecturers make available for students. From this app lecturers can view how student view the set of materials available .

The new materials are uploaded and assigned from UADrive
, allowing users a more powerful and user-friendly management.

 ·  For  2015-16 subjects, materials cannot be uploaded in the old Virtual Campus
 ·   Lecturers will be able to  move to UADrive their learning materials in the Virtual Campus with simply the click of the mouse   (they have the tool " Import " available in UADrive)
 ·   Anyway, they will be available (for download only) in the old Virtual Campus for lecturers and students.

 ·   All the information is available at the  UADrive help page
 ·    We recommend that you view  UADrive presentation video , as well as the graphics on the " Tips you need to know about UADrive  ".
 ·   Also, to get familiar with this, you can  apply for UADrive presentation sessions    at your department or centre.

We ask for your understanding for a change that will benefit us all.

What is the capacity of UADrive?

UADrive has  3GB  available for each user.

Notifications

Problems when publishing a notification  (with Google Chrome )

Google Chrome browser is causing problems in interpreting the dates inserted in UACloud notification app, displaying an error like this: "the field Expiration Date (inclusive) must be a date". or, in other cases, the notification is not viewed even though no error message is displayed.

The problems is that Google Chrome interprets the time in US English format and a date apparently valid is interpreted as incorrect.

We are trying to solve this problem that affects  Google Chrome browser only . In the meantime, we recommend that you use another browser to insert notifications ( Microsoft Internet Explorer, Mozilla Firefox, Safari... )

e-Administration

I applied for an academic certificate via UACloud but I have not received it yet

  • Students

With the launch of the new e-administration platform integrated in UACLOUD, the manual processing for academic certificates at the university faculties and schools will disappear. All the certificates are automatically generated within UACloud:
    • For payments made with credit card from the platform , a certificate will be generated and make available for the applicant within 20-30 seconds .
You do not need to pay within a specific period of time as it used to be. You can do now it the following day or up to the expiration date of the invoice.
    • For payments at the counter or ATM , receipts will be checked the following working day . When the payment is received, the receipt is sent to applicant by email so that they can access the platform and collect the certificate (a direct link will be made available). Also a notification will be generated that can be viewed on the app home screen. The certificate will be instantly generated when accessing the app and be collected within a few seconds.
    • The certificate generation time has gone from 5 minutes to 30 seconds, approximately.
    • Those applications where payment has not been made before the expiration date,  change into an administrative status of CANCELLED so that payment after that date is not allowed and applicants should apply again in order to avoid the accumulation of obsolete academic certificates.
    • The platform is accessible from mobiles and tablets in both Valencian and Spanish.
  • Administrative staff at Faculties or Schools secretary's offices

New in UACLOUD: electronic academic certificates via eAdministration:

With the launch of the new platform with electronic administration integrated in UACLOUD, the manual processing of academic certificates will disappear. From now on, all certificates will be generated automatically within the same application.

    What's new:

    • For payments with credit card from the platform itself:  a certificate will be generated within around 20-30 seconds. Applicants are not required to pay within an established period as it used to be . They can now pay the day following the application and up to the invoice expiration date.
    • The certificate generation time has gone from 5 minutes to nearly  30 seconds,  approximately.
    • Those application where payments has not been made before the expiration date, change into an administrative status of  CANCELLED so that payment after this date   is not allowed and applicants need to apply again in order to avoid the accumulation of obsolete academic certificates.
    • Secretaries at the administrative centres can consult the academic certificates generated (only from their own centre as previously) with no further administrative work and thus, no more notification to enter administrative proceeding will be sent.
    • Related to the above, there is no more need to maintain the centralised unit in holiday periods as users can consult the certificates generated online. However they could be assisted if a problem may arise.
    • The secretary's office staff will use the same username and password of UACLOUD - Virtual Campus and not a different one as previously.
    • Already generated records and documents have been migrated to  SIGEM since its launch in 2011. Students can still have access to the certificates they generated with the prior platform and so the centres can use them.
    • Secure Verification Codes of documents in the previous platform are still valid and  documents can be accessed with those codes (CSV).
    • The platform is  accessible from mobiles and tablets  in both Valencian and Spanish.
    • The same type of documents will be issued. There is no novelty in this regards.

Any questions, suggestions etc can be submitted to the Computing Service User HelpDesk (CAU), ext.9393.

UA Network (RedUA) :
Virtual Classroom , UA Network Remote Control, Local Databases, Reference Manager

I have connection problems from  Internet Explorer

If you are experiencing PROBLEMS WITH RedUA CONNECTION from Microsoft Internet Explorer, you can follow some recommendations from our documentation for RedUA connection problem-solving.

What browsers you can access RedUA with ?

For connection with Virtual PC,  Remote Desktop Protocol is used. RDP is a Microsoft protocol for communication in the execution of an application from a terminal and a Windows server.

Browsers that provide integrated RDP support are:

  • Windows Internet Explorer .
  • Mac Safari .

Other browsers such as Chrome or  Firefox are not recommended as their connection is not automatic and will need to be set manually in other program.

However, an independent program compatible with RDP protocol may be used, in which case the  connection with RDP client will be set manually.

CV Other Services Applications not yet migrated from the old Virtual Campus

Interactive tutorials from old VC

Use instructions for some options of  CV Other Services

Interactive tutorials available to explore the different functionalities  of CV Other Services  step by step:

Eduroam Wireless Network

How can I connect to the UA WIFI network?

You must have a username and a password that identifies the person, which is the same that is used to access UACloud, webmail and other services.

Identification is not transferable and any inappropriate use of the network is the responsibility of the owner of such identification.

You must be sure that the service is active (in UACloud - Virtual Campus ) and establish the right settings in your wireless device (laptop, mobile, tablet, ...).

If you have trouble following the  Wifi installation instructions , you can contact the  support staff in the Free-access Computing Rooms.

UA Staff Directory

Why can I not see my data updated in the directory?

Take into account that data will be displayed updated the day following their modification.

Once you can view them, you can enter and modify them again. They will be updated in the directory in a night process performed in the server.

How can I change institutional data (of Units, Departments or Institutes)?

Head administrative assistants have the possibility to modify the data displayed on the University of Alicante Directory (telephone numbers, fax numbers or the URLs of their websites) from UACloud - Virtual Campus.

see instructions here:
Maintenance of institutional data displayed on the university units, departments or institutes

Academic Staff Management

Management of the academic staff profile at the secretary's offices of centres, departments and Institutes

How can I know if the data of each subject are completed?
(especially the sections corresponding to the subject content)

Notifications

How to send an urgent notification (via SMS) from "VC Other Services"?

  • There is a tool included here to send SMS messages. It is a communication channel to complement email, tutorials, alerts...
  • Its use should be limited to unusual situations when there is an urgent or immediate need for communication.
  • Global cost of this service can be considerable and therefore responsible use is required. The cost will be initially assumed by the University; however, it this might be derived to the corresponding centre in the future.
Main features of this service
  • Each user profile has several options to send and receive messages.
  • Privacy of telephone numbers is fully guaranteed. Senders cannot see recipients' phone number.
  • Reception of messages can be set according to user preferences. Each user can choose the type of messages they want to receive.
  • Sent messages are registered from "VC Other Services" with information on who the sender is, when it was sent, text message, etc.

Other related services

UA electronic mail service

Access to UA WEBMAIL

Webmail can be accessed from outside UACloud - Virtual Campus: from UA home page, right next to UACloud-VC.

Webmail has always been an independent service outside the Virtual Campus, although users can access it from UACloud - Virtual Campus from VC Other Services >> Other Services >> Webmail. However, we recommend that users use the direct access from UA home page .

Why is SPAM sent in my name from my email address?

If you find out that your email address is being used for sending SPAM by third parties, it is very probable that they are using your password for this purpose.

We recommend that you immediately change your UACloud - Virtual Campus/ Webmail password (from any of these services, as they all use the same password) to stop this misuse. You can change it either from UACloud main access screen or from Webmail advance access: from UA front page and clicking on the link "Advanced access"  and once there go to "Change password".

Access to your account could have been retrieved if you did answer a spam email (remember that you should never provide your passwords via email, neither the University nor any other organisation would ask for these sensitive personal data via email).

Your device being infected by a virus or malware is another possibility. We recommend that, after checking that your antivirus software is correctly installed and updated, you perform a full scan on your devices looking for viruses or any other malware. If after the scanning any type of threat is found, it is highly recommended that you change your password again.

Also, in case this happens, other passwords might have been retrieved (on-line banking…) and we recommend that you change all your passwords.

Mail spoofing is another possibility: a technique by which cyberbullies or spammers get recipients to trust spam emails when received from a person they know (this would be similar to changing an ordinary mail letter address).

Our email address could have been retrieved as a result of an Internet search (blogs, fora, social networks...), of forwarding email chains (hoax...), of answering fake contests or promotions, through non-trustable apps installed on our mobile device by accepting these apps to have access to our data and contacts..

In this case, you should notify your contacts of the problem and recommend that they treat these types of emails as any other type of spam emails: deleting them or using antispam filters provided by your email server. This type of emails would stop being sent in a few days. More information can be found on this article from the "Internet User Security Office (OSI): " Why my contact are receiving spam from my email address? (In Spanish)

Can I send large files from Webmail?

A secure file sharing service is available for the university academic and administrative staff.

Whenever you try to send a message, you might get an alert from your mail server warning you that the file exceeds the maximum size allowed (25Mb) and therefore, your message cannot be sent. You should take into account that e.g. a 12Mb binary file might become 25Mb once recorded and attached to the message.

In order to send large filesWebmail incorporates a service to share large file.

After writing an email and attaching files as you usually do, you should mark the option at the bottom of the screen and select the number of days in which the files will be available for download from the drop-down menu, and thus, avoiding the files to collapse the recipient's mailbox or be rejected if not downloaded in the due time.

If you choose this secure file sharing service, the recipient of your message will receive a link from which the file can be downloaded.

The main features of this service are as follows:

  • Capacity to send up to 1,2Gb files in just one email message.
  • Storage for on user cannot exceed 4GB.
  • File sharing storage is limited and, therefore, if it is overloaded by other users' files, it cannot be used until some storage space is released.
  • The use of this service is followed up.
  • Transferred files will be automatically deleted after 1, 3 or 7 days, as selected by users on sending the files.

Detailed instructions for using Webmail secure file sharing service.

RESPONSIBILITIES

Content: The person who stores the files is responsible for the content and should observe the regulations in force and University of Alicante terms of use on computing and communication resources as well as the conditions of use on electronic mail. Encryption should be used to secure data that you need to keep private.

Security: The person responsible for the content of the files hosted does not put our university community at risk.

How can I set my UA electronic mail on any mail client?

UA Webmail service is available for all the university members. One of the advantages is the option to check your mails at all times anywhere from any browser.

If you wish to access your UA email account with any other client (Mozilla Thunderbird, Microsoft Outlook , Mail ...) you should set the required data for access to your UA email account.

I have changed my password but email client does not ask me for the new one

Email clients can store and remember passwords to avoid entering your password repeatedly.
Check this out to recover or delete saved passwords in email client.
