Data extraction is one of the most important parts of the application.
Since, in addition to the actual data of the users, we have a test address, you can display separately the results of each of these options.
To access the results of the questionnaires sent, we have to click on the button of the toolbar . Doing so will open a new window that allows you to manage what results we want to display and in what format.
Generate a list of answers
Before generating the report with the data it is advisable to review the configuration of the same.
Extract real results or results of the tests performed. We should check what we have marked to display correct data at any time.
Extract results with legend or value. This parameter makes sense in the fields of the questionnaire that have multiple options in response, where each of them has an associated value.
For example, imagine that in our questionnaire appears the following set of checks:
When we recover the data in the report you can choose to display the text of the response ("legend") or the value that we have assigned to it.
In the first case, when generating the report of results visualize the texts of the responses chosen by each user. Each line corresponds to a shipment that is different, so that, in the image, the first user has selected two events, the next available three and the next, has selected none, since the row appears in white.
On the other hand, if we choose to show results as value, visualize the value numeric '1' in the columns corresponding to the answers selected by the user:
We must bear in mind that in the first column of the group check, they are pooled data from all the answers according to the specified value.
If the control is of the type "drop-down" or "radio", since you can select only one response, the data in the report are shown in a single column. An example is shown in the following images:
An example of the results obtained as a legend or value would be:
To determine if the data type "Check" are displayed in separate columns or the same. This parameter applies only to the fields type "Group of checks" in which can be selected several of the available responses.
In the sample pictures that we have seen more above, fields data type "Group of checks" were displayed in separate columns. In that case, if the field name is "events", in the first column the values of user-selected responses are collected and then a column is displayed by each of the responses.
If we choose the data to be displayed together, only the first column ('events' in the example), would be displayed with the data format "value".
Choose the output format. We have various output formats so choose which best suits our needs. If we want to generate some statistics with the data obtained, it is recommended to select the format of spreadsheet "Excel" that will allow us to perform basic operations and generate graphs.
Before generating the report we can apply certain filters to restrict the amount of information of the same. For example, we can extract the results obtained in a given period or list only the form fields you need.
By default, column "fields to list" contains all fields of the form. To remove fields in your report, simply we have to click and drag from one column to the other. We can move several fields at once by selecting them with the SHIFT key (shift) and dragging them simultaneously.
Once you have configured all the options, we will have to click on the button "generate list" located at the top left of the screen.
Using this functionality you can also extract an explanatory legend of the fields on the form. In the legend, we can see the order of the fields, its call sign name, text, the response options (if any) and its associated value, the field type and whether it is mandatory to answer it or not.
In the same way that a conventional report, you can set up different options (output format, filters...) as a prelude to the generation of the legend.
The test data and real data can be deleted independently. By eliminating the evidence, their data is deleted completely, however, if we click on "clear results", related data will become evidence.
Before converting the results in tests, will be a notice to us to confirm the action.
If we confirm the operation, click the buttons we can verify that the number of actual data has joined the existing evidence.
As already mentioned, If we delete the evidence, deletion of data shall be final.
